1. Compliance and Permits Management
• Monitoring and Obtaining all regulatory permits.
• Monitoring and timely renewal of regulatory permits, insurance policies, vendor and management contracts.
• Develop and implements company’s management standards, operating plans, and programs for his managed properties.
2. Hard Services or Engineering Equipment Management
• Development of Engineering Operations Master Plan including Project Management.
• Monitoring of timely replacement of all parts and equipment due for replacement.
• 52 weeks planned preventive maintenance creation and implementation.
• Ensure 100% equipment availability for service.
• Implement energy-savings and improve equipment operations. EOL, EOSL, etc. shall be included in the Engineering PM plan Other related and required in the engineering plan.
• Preserve all equipment and property value.
• Act as the project manager on project site development.
• Centralize report consolidation and review.
• Always align and report to the Central Engineering Lead, HSE Manager, and to the entire Operations.
• Manage OPEX and ensure that it is aligned with the budget
• Process billing for all managed vendor and ensures that it is process within the policies released by finance
• Ensures that the vendors are managed properly and aligned with the FMD policies
• Supervise technicians and lead technical team on daily task and projects
3. Project Management
• Act as FMD Project Officer for all projects covering site development, renovation and other approved projects for implementation.
• Ensures the completion of all approved CAPEX Projects, and recommends projects for improvement.
• Maintaining the budget with compliance in safety and health standards.
• evaluate all billings as to what is installed and agreed upon with the contractor.
• Ensure all contracts, job orders and in-placed prior to execute the project.
• Manage bookkeeping of all construction files and equipment warranties, insurance and plans associated with the project.
• Track and oversee project implementation from start to finish meeting full efficiency on project compliance, vendor management, time and cost.
4. Security Management and Operations
• Provide support on central security management on-site implementation of policies and procedure.
• Monitor implementation of security protocols.
• Provide feedback on actual site implementation of security protocols and procedures.
• Report to management team any incident occurred in managed properties.
• Risk assessment and resolution.
• Report consolidation and review.
5. Soft Services Management
• Provide support on the operations for Groundskeeping, Housekeeping, Customer Service and Pest Control.
• Implements standards and policy from admin management Assist on completion and correctness of reports.
• Close coordination and provide support with admin management for accurate monitoring of filed complaints and resolution.
• Provide support on soft services financial management for OPEX and CAPEX.
• Implements and develop proper communication and escalation tree.
• Build camaraderie and good working relationship with the managed Business Units, Property Management Office and Colleagues and help improving the team’s overall customer ratings.
• Compliance with the proper communication channels and escalation tree.
• Participate on the task needed by the management.
• Vendor Management
6. Health Safety and Environment
• Ensures strict compliance of the property with all government requirements on health and safety procedures relating to facility operations.
• Act as the Health and Safety Representative of the property.
• Ensure all standards are met and implemented.
• Coordinate with HSE Manager or HSE Advisors, PCO and QMS team of each respective properties.
• Review reports being submitted by PCO in regards to regulatory compliance
• Coordinate with the client all findings and resolution.
7. Reports and Others
• Consolidate, check, verify and submit quality records and reports as needed in both repair, maintenance and projects.
• Perform such other related duties as directed by his/her superiors or agreed upon from time to time.
• Shall uphold that he/she represent the Facilities Management Department on board meeting and group discussion at any given instances.
• Ensures submission of Incident Report within 24-hours from the occurrence of the incident and initiating discussion until the report was closed.
