JOB SUMMARY
Responsible in the efficient and effective scheduling of day to day deliveries based from system generated DOT report and other report (deliveries documented for manual invoicing) provided by Warehouse Clerk, efficient use of available fleets and manpower during normal operations and in case of contingencies to meet customer expectations. Responsible on effective communications to the delivery drivers/helpers and interface departments having delivery concerns by providing immediate solutions.
PRIMARY FUNCTIONS
Technical Duties
Generates DOT and prepares daily delivery trip tickets.Reviews the completeness and accuracy of daily trip tickets and analyzes its data that will further improve daily delivery.Ensures that planned delivery schedule for the day are balanced or maximized in terms of number of delivery drivers/helpers per truck, number coding and provincial road ordinances, situation or description of customer’s place, truckload capacity, truck running condition, customer’s receiving time, cold storage conditions and processes , etc.Secures the services of third party logistics (TPL) as need arises.Ensures proper rotation of delivery drivers and helpers in all days including Saturday schedule.Assesses and provides resolutions for delivery problems received from Drivers transpired from the Daily Trip ticket schedule or DOT.Administrative Duties
Provides Truck details and NMIS MTV No. (for in-house fleets or TPL trucks) to different Cold Storage for the pick-up of stocks.Monitors and ensures that delivery status are sent on-time (through SMS) by delivery drivers and Third Party Truckers (TPL). Provide report to affected SE’s and Delivery Supervisor for unsuccessful deliveries if any.Provides copy of DOT to all Drivers prior travel. Instructions for TPL service must be provided to the TPL contact representative upon service booking.Updates customer record having special time or condition on delivery/receiving process.Initiates immediate dissemination to all drivers in case a new traffic law was implemented in NCR and provinces (for provinces, normally driver having the first hand info and must immediately inform the delivery planner).Reports to immediate head of recurring problems on delivery planning and trip ticket schedule if any.Ensures communication line is open prior and beyond office hours specially for critical concerns if any. Immediately raise concern to Delivery Supervisor if the message or call has no connection on delivery matters and the concern is controllable (should have it already included during the order booking to SSG).In-charge in the submission of report and attachment of trucks Shell Fleet card consumption to ACC.Other Support Duties
Perform other tasks assigned by immediate superior whenever deem necessary in the operation.MINIMUM QUALIFICATIONS
Graduate of any Business Administration or Management courses with concentration in Logistics and Supply Chain Management an advantageMinimum of 2 years experience on delivery scheduling from a distribution or logistic companyWith familiarity on NCR and provincial areas an advantageProficient on computer software such as MS Excel, Word
