• Provides clerical and administrative support to the Head and Manager/s of the department to ensure an effective and efficient flow of daily department operations and to also to attend to employee health related concerns.
• Provides day-to-day clerical support to the department from answering calls, photocopying, faxing and mailing, receiving and releasing documents
• Responsible for records management
• Facilitates communications – incoming mails, faxes, etc. – and forwarding them to the corresponding officers/staff in charge for immediate action/reply
• Coordinate and organizes team activities and/or client events and assists in various projects/ activities as needed
• Provides admin support to Recruitment and ER and Compensation and Benefit.
• Performs other job related projects as maybe assigned from time to time.
• In charge of the Company’s Health management – Benefits.
• Coordinates internal/external meetings, presentations, projects, etc. as needed
• Monitors Mandatory Leave filing of employees and update database for reports.
• Screens and prioritizes daily communications, telephone calls, etc
• Logs and receives and / or releases daily memos, letters and other HR related documents
• Checks and follows up on daily outstanding issues, deadlines, etc.
• Updates the monthly database of network of internal and external contacts.
• Monitors daily attendance and leave schedules of the department to ensure leaves
are taken and supporting leave forms are filed and approved.
• Assists the Recruitment and ER Manager in calling candidates and coordinating
interview schedules/meetings and accurately populating the recruitment database.
Prepares payment request forms for the for approval manager/s and department head
• Monitors monthly office supplies of the department and prepares request of office supplies to Shared Services Department (SSD)
• Prepares/logs own daily time record, minutes of the meeting, applicable production/Mancom reports and other required reports for submission to the managers/head of the department
• Prepares documents for transmitting employee loan application, membership related concerns to Philhealth as part of their Government mandated benefits.
• Prepares Acceptance letter for employees who have tendered their resignation as endorsed by Department Head.
• Schedules resigning employees for Exit Interview with the Department Head.
• Updates Trackers for issued Resignation Acceptance letter and Clearances.
• Issues keep stock and prepares request of medicines for employees.
• Assist Retainer Doctor of the company for clinic concerns.
• Update Medical report which entails consultation, medicine dispensed every month.
• Prepare Annual DOLE- OSHS Report.
• Coordinates to HMO regarding employee benefits issues and reimbursement
• Assists with HR Team and vendor in conducting Wellness Program as prepared in an annual calendar.
• Ok to work 100% on-site.
