I. JOB SUMMARY

This position will support all the administrative needs of the President, Expatriates and Mancom members including customer visits management, company events and expense reports preparation and liquidation.The position will report in Muntinlupa City, Philippines with minimal travel requirements.

II. JOB RESPONSIBILITIES

Responsible for the following business / functional activities:Schedule and coordinate meetings, appointments and travel itineraries of the President;Prepare expense claims and liquidations of the President;Support HR Department and Execom team in organizing company events, strategic planning meetings and company team building activitiesProvide ongoing support to expats for relocation, visa renewals and other government clearances, travel and other matters, as applicable, during their assignment ;Coordinate with HR and Finance department in facilitating Visa application and renewal for foreign workers;Record and Transcribe minutes in the weekly Management Meeting as maybe directed by the President or presiding officer;Perform other tasks as may be directed by the President.Coordinate the Mancom members’ travel needs while ensuring that travel needs are met within the constraints of the company policy and travel budget;Schedules hotel and flight accommodations and procures necessary documentation such as passports, visas, travel insurance or other clearances,Coordinate with travelers, HR, and finance department in completing visa application requirements and fees;Coordinate with travelers for their transportation needs by liaising with shuttle providers;Coordinate the scheduling for customer visits with the relevant service line heads and ExeCom members;Organize the meetings including meeting invitations and room reservationsFacilitate and coordinate logistic requirements such as but not limited to transportation arrangement, meals during and after meetings as necessary based on company policy and guidelines.Monitor, manage and optimize the use of Capella and Griffinstone meeting rooms

III. JOB SPECIFICATIONS

The candidate must have:

At least 4 years of experience in executive assistance and administration tasksOne or more of the following industries experience:Business process outsourcingService deliveryGlobal mobility as an advantageObtained a Bachelor’s Degree in Business/Administration/Management or equivalentExcellent communication skills.
