ESSENTIAL DUTIES AND RESPONSIBILITIES

ADMIN TASKS

·        Checks proposals / requests related to individual specialization (e.g. job fairs organized by third party vendors, requests for educational tours, graphics requests, etc.), conducts the necessary assessment in order to arrive at a decision regarding it, sets timelines, and coordinates with proposing party / requestor accordingly.

·        In relation to the first item, coordinates with internal groups involved (e.g. HR Recruitment, other SG&A departments,accounts, etc.).

·        Prepares and files necessary documents / requests such as RFPs, RQs, reports, etc. related to individual areas ofresponsibility / specialization.

·        Safeguards team assets by:

o   Being responsible for proper disbursement and liquidation of Sourcing funds used for various events / activities.

o   Recording / keeping track of corporate giveaway and POSM disbursements.

·        Sends email and SMS blasts (e.g. reminders, announcements, etc.) on behalf of the Sourcing Team

·        Ensures that all physical and electronic correspondences address to the Sourcing Team are collated and forwarded to thespecific addressee.

·        Encodes and updates all contacts and information from various partner institutions/suppliers and vendors

·        Encodes MOAs and contracts.

·        In-charge of central filing for all proposals, contracts, and documents.

documentATION

·        Revise, disseminate, collate and interpret results of evaluation forms for exclusive Sourcing activities owned.

·        Creates and facilitates debriefing for activities owned.

·        Prepares Sourcing reports (monitored stats) for manned events / activities.

·        Participates in different HR and Sourcing projects on an ad-hoc basis (as requested by the Sourcing Manager).

LOGISTICS

·        Ensures that materials / resources assigned to them are made available to end users when required (e.g. Sourcing shuttle, Job Fair forms and collaterals, resumes from the Sourcing mailbox, etc.).

·        Coordinates with Branding regarding the preparation of marketing collaterals for activities / accounts owned.

·        Assists project owners in coordinating with external organizers for event preparations (e.g. finalizing floor plan lay-out,participation in presentations, determining booth lay-out & design).

·        Responsible for egress and ingress during assigned job fairs.

·        Conducts ocular inspection of various activity venues when necessary.

·        Working knowledge of PC and computer applications, internet, and other basic and digital communication apps

·        Good interpersonal relationship skills with the ability to build network across industries, academic institutions and organizations

·        Self-starter and assertive

EDUCATION and/or EXPERIENCE

·        BS in Behavioral Science, Psychology, or Human Resource Management and/or BS in Communication English, ABMarketing, Liberal Arts courses or equivalent from an accredited college or university. Recruitment experience and BPO and or other service-oriented industry is an advantage but not required. Marketing/Sales experience is preferred.

LANGUAGE SKILLS

·        Effective English communication skills, both written and verbal

·        Ability to read, analyze and interpret general business periodicals, professional journals, corporate procedures/regulations

·        Ability to write reports, business correspondence and procedure manuals. Ability to effectively present information and responds to questions from group of managers, clients, customers and the general public.

MATHEMATICAL SKILLS

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages.

REASonING ABILITY

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
