This role is responsible for maintaining, updating, and monitoring employee movements particular to separation or transfers requiring asset return. Responsible for ensuring a smooth transition of employee exit in accordance with company policies and client requirements. Maintaining the master data of separated employees that will be used for payroll processing of final pay and reports for asset recovery and invoicing, whereby ensuring accuracy, consistency & timeliness of exit process while equally giving importance to data privacy and security. This role demonstrates customer service orientation and knowledge of Human Resource processes and related systems to perform responsibilities.

The key deliverables of the incumbent are to liaise with all required functional teams in order to develop and drive best practices in offboarding process. Required to ascertain departmental dependencies and accountabilities in order to successfully offboard client staffs and Corporate employees. The role will be both a strategy development role as well as a hand-on ‘doer’ role. The individual should have a strong ‘risk and control’ mindset to improve controls and governance across client management and offboarding. Required to navigate through complex multi-departmental organizational structures in order to deliver the results necessary. 

Responsibilities:

Ensures on time release of Clearance Kit following the offboarding process Crafts and sends offboarding emails. Provides consistent and effective communication regarding employee’s status and offboardingClosely coordinates with concerned teams in update the offboarding status. Develop strong relationships and regular communications with all required stakeholders to develop effective working groups/sessionsClosely monitors and ensures turnover of employee’s accountabilitiesEstablish and maintain proper records and tracking of assigned tasks and develop metrics to quantify progress and effortsUpdates offboarding actions across tracking systems. Regularly updates and monitors clearance trackerAttends to all queries and concerns pertaining to the offboarding process. Receives and responds to inquiries concerning HR policies, procedures, and processes via email and phonedocument issues and bottlenecks in order to raise these to the proper channels and work on solutions to minimize/remove impactsAbility to perform proper escalation of risks and issues to management to ensure risks are properly accounted for and transparentFollow internal policies and procedures and protocols in order to achieve goals in a compliant manner.Work on constant improvement projects and participate in the streamlining of processes in order to improve upon the delivery key accountabilities or closely associated tasks.Requires collaboration and close coordination with other HR teams, Payroll and CX team for completion of requirements and validation of information within timelinesPerforms regular audits to ensure data consistency & accuracyAssists with reports preparation related to employee separation including payroll instructionsManages data related concerns/inquiries and disputes in final pay

Requirements:

• Excellent administrative and organization skills with strong attention to details 

• Established work ethics anchored on integrity, accuracy and quality

• Advanced skills in the use of MS Excel, creation of common HR Reports and ability to provide insights/analysis

• With 1-2 years experience/exposure in handling payroll operations or basic HR

• Excellent inter-personal skills; highly competent in dealing with different cultures, personalities

• Ability to work under pressure, adhere to strict deadlines with very minimum supervision

• Ability to multi-task and manage several jobs/projects/assignments at the same time and work under pressure in a 

fast-paced environment.

• Strong planning, organizational and leadership skills.

• Outstanding collaboration skills. Ability to partner with leaders, team members, and peers to drive results.
