The Assistant Executive Secretary will be responsible for providing proper secretarial assistance to the President and the Executive Officers. It is also responsible for contributing to the efficiency of the business by ensuring all assigned secretarial and/or administrative responsibilities are done in a timely and effective manner.
Main Responsibilities:
Ensures proper communication of information among all Management CommitteeManage multiple or complex calendars for meetings, travel, and other commitmentsReceives and screens phone calls/ documents and executes instructions of the Management CommitteeAssures that guests/visitors of the Management Committee are properly assistedOrganizes transportation needs and coordinates with plants for airport pick-up and accommodationProduces entry passes once guest or visitor details are secured and sends entry pass to requestor once approvedEnsures the organization and proper scheduling of meeting venuesHandles and prioritizes all correspondence and holds and secures confidential documentsCreates memos, reports, and correspondence as neededMonitors office supplies and arranges meeting necessitiesEnsures the maintenance and sufficiency of office supplies and equipmentAttends to travel/hotel bookings/arrangements for executives/consultantsEnsures orderly filing of documents and maintains electronic and paper recordsEnsure the preparation, checking, consolidation, and submission of work-related reports.Performs other related tasks assigned from time to timeQualifications:
Must be a gradate of any 4-year business related courseMinimum of 5 year of work experience in an executive support roleProficient Both in oral and written communication skillsExcellent interpersonal and organizational skillsProficient in Microsoft Office, and other business communication software.
