Job Purpose:

This role is designed to handle tasks from new hire Workday encoding, pre-employment requirements collection and tracking, initial filing of 201 documents, to email reminders for regularization, email reminders for closure of open Workday items.

Major Accountabilities:

Facilitate onboarding tasks including but not limited to encoding of new hire information, tracking and compilation of pre-employment requirements, filing of payroll documents, and initial filing of 201 documents. The intention is to ensure that new hires are properly documented and accounted for.Send regular email reminders to people managers about reminders relating to Workday including but not limited to closure of open items, checking of employees on leave, 3rd and 5th month appraisals of probationary employees, pre-employment requirements completion reminders, and attestation of accuracy of timekeeping data encoded in Workday. The intention is to ensure that the data in Workday is accurate by reminding people managers about the items they have to close out.Assist in 201 file management by reordering the 201 files (at least monthly), cross-checking document transfer logs, and updating of 201 documents especially for recent hires. Handle the process of ordering regular supplies from procurement. This includes but is not limited to the submission of order requests, tracking of current supplies, and management of supply storage. The intention is to optimize the supplies of the entire HR team.Facilitates onboarding tasks including but not limited to encoding of new hire information, tracking and compilation of pre-employment requirements, filing of payroll documents, and initial filing of 201 documents. The intention is to ensure that new hires are properly documented and accounted for. Initiates Workday new hire encoding within 24 hrs due to dependency of the system to create credentials necessary to process asset requests for the new hireAdministers new hire Workday approved profile changes such as start date, personal information, cost centre, job title and profile deletion requestsCollects and ensures completion of new hire 201 files including pre onboarding documents from recruitersConducts QA and send reminders to concerned parties regarding completion of documents and sends monthly new hires list and payroll related data for payroll processing to ensure that the data in Workday is accurateEnsures completion and validation of contractual resource engagement requirements to audit purposesConducts daily touchpoint with RPO and Sourcing vendors for the status of onboarding requirements provide necessary guidance and feedback to speed up on boarding clearancevalidates vendor invoices for payment processingParticipates in HR process improvement initiatives and coordinate TA projectsProvides guidance to junior team members who supports onboarding

Qualifications:

Bachelor's degree holder5+ years in a similar field in either Talent Acquisition or HR OperationsMust have prior experience and proficiency in WorkdayStrong attention to detailExcellent communication and interpersonal skillsAbility to multi-task and with strong sense of urgencyTeam playerWith prior experience doing onboarding in a contact center, shared services, financial services, or technology company is an advantagePrior vendor management experience is preferredAmenable to work midshift (1pm to 10pm or 2pm to 11pm)Amenable to hybrid work set up
