Job Qualifications:

The Executive Assistant should be graduate of any Business Courses with at least five (5) years of experience related to office and business management. He/she must have the following qualities: 

Excellent communication and interpersonal skills;Excellent presentation skills;Excellent in Public RelationsExcellent Negotiation SkillsComputer literate;Willing to work overtime; andCan work under pressure.

Job Specifications:

Leadership/Supervisory Role

Addresses immediate concerns of managers.

Collaboration

Coordinates with Department Heads as to special instructions of the president.

Analytics

Monitors and reviews company’s project activities and ensure that they are brought to completion within a scheduled time period;

Administrative

Receives and screens call for the President.Receives and screens correspondence or any written document and visitors for the President.Maintains a masterlist of contacts of the Office of the President.Coordinates all outgoing instructions, messages, and documents to proper individuals or companies in behalf of the President’s to ensure effective communications.Prepares memos, letters and any correspondence, as requested and approved by the President.Arranges meetings of the President with the Department Heads/ Mancom/ Execom and External Clients as per schedule.Maintains records and documents as assigned by the President for efficient retrieval.Prepares and submits reports to the President.Performs documentation during meetings as requested by the President.Collects weekly/monthly/annual reports from department heads and submits the same to the President.Presents in behalf of the Company/president during meetings or conferences.Acts as secretary to other Almana Companies during board meetingsFollows up assignment of Execom/Mancom/Dept. Heads.Updates the president regarding the status of assignments of Execom/Mancom/Department Head.Ensures that documents are properly reviewed and evaluated prior to endorsement to CEO for approval. Makes follow-up on assignments/commitments of specific employees arising from meetings and/or one-on-one commitments of the President. Provides support to the CEO on operational concerns and updates him of status and/or presents appropriate recommendations as needed. Manages operational matters that need immediate action/intervention in the absence of the CEO, providing appropriate support and intervention to employees/departments/companies within the position’s capacity or as designated by the President. Implements Executive directions as necessary. Provides appropriate action during crisis situations on behalf of management to manage possible risks. evaluates legal documents and situations with legal implications and takes appropriate action to address the situation. Ensures that the policies, procedures, documentation, and internal auditing within the operations are compliant with company rules. Coordinates with Department Heads as to special instructions of the President. 

Other Duties

Maintains private and confidential information (written and verbal) to authorized personnel only.Accomplish Special assignments as assigned by the President.Complies with company policies and procedures; andPerforms other functions as assigned by Superiors from time to time or when the need arises.
