Job Responsibilities:

Lead a team of Business Management Systems and Services professionals to partner and provide services to

·        The Corporate BMS Group

·        SMEC’s Compliance Team

·        Corporate Marketing Team

·        Corporate Travel Team

In doing so ensure:

Streamlined daily operation of Business Management Systems and Services Team that is aligned with the business objective of organization, including BMS business plan, and relevant internal requirements defined by the relevant stakeholders;Proper quality management of services delivered including continuous monitoring and measurement of services performed by the Business Management Systems and Services Team in Global Shared Services (GSS);Group BMS and SMEC’s Compliance Systems are maintained and operated as per direction from the SMEC Compliance team;Administration of the documented knowledge base for managing the SJ group of companies;Overall responsibility to ensure all documents uploaded in BMS are updated, accurate and in accordance with the requirements of the BMS;Satisfactory implementation, monitoring and improvement of all key initiatives relating to BMS and Compliance;Oversee effective administration and reporting of compliance-related operations within Global Shared Services (GSS) in line with SMEC documentation requirements and business integrity processes.Corporate Marketing Team’s service needs are met; andBusiness Travel requirements and use of travel booking tools are used effectively and efficiently to enable best value to business.Ensure BMS and supporting systems are maintained and improved continuously so they are compliant with defined requirements in BMS Manual, Business requirements and best practice.Facilitate communication of the BMS and supporting systems to SMEC users globally to facilitate consistency in quality of project deliverables.Manage internal and external feedback, reported complaints and audit results to achieve customer satisfaction across the 

Leadership and Mentoring

• Act as a strong role model for team members and coach and develop individuals to ensure they reach their maximum potential.

• Provide regular operational feedback to the Director Global Shared Services/BMS Group Manager, identifying and escalating potential operational and personnel issues proactively.

• Develop and monitor standard operating procedures to ensure high quality and consistent service delivery.

• Identify training needs and coordinate closely with GSS Centre Director and People and Culture.

Budgets and Costing

• Work with the Director GSS and Senior Manager – GSS Operations in maintaining BMSS Group Service delivery statistics on an ongoing basis.

• Discharge an active role in cost and budget monitoring in the BMSS Group.

• Provide support to Director GSS and Senior Manager – GSS Operations to come up with Annual Budget for Revenue and Billing to Service Recipients.

• Coordinate and work with GSS Local Finance Team for accurate invoicing service recipients and resolve any follow up queries on invoices sent. 

Others

• Record team performance against the SLAs and KPIs.

• Maintain data integrity of information held in the systems through auditing and resolution of issues.

• Provide additional support to the BMSS Group as and when requested.

• Ad Hoc tasks as requested.

Key Qualifications, Knowledge, Skills and Experience:

Prior team leadership experience is highly desired.Candidate must possess at least a Bachelor's/College Degree in engineering, environmental management, OHS management, business management or any equivalent degree.Minimum 7 years’ experience, ideally in a Systems lead role and QHSE coordinator capacity within the professional services industrySound knowledge of management systems (Quality, Health & Safety, Environment and Risk) Sound knowledge of engineering and project management systems and practicesAuditor training in Quality, Environment, Health & Safety, Six sigma is desirableProficient IT skills to evaluate business systems and manage system improvement projects Excellent task and time management skills. Ability to work within a team and on own initiative, providing consistent and timely feedback to team members and support where needed.Proven interpersonal, communication, project management and leadership skills.Good Presentation / Training Skills;Strong change management knowledge and skillsProficient business analysis skills to prepare or interpret complex data into charts, graphs or tables​
