As an Administrative Assistant, you will be assisting the Administrative Manager in ensuring the day-to-day operations are met. Your tasks involve making travel and meeting arrangements, preparing reports and maintaining appropriate filing systems. You will also be responsible for providing administrative assistance to ensure the team members can communicate and work efficiently.
Job Responsibilities:
Provides administrative support to ensure efficient operation of the office.Manage the front desk and provide general support to visitorsAnswers phone calls, schedules meetings and supports visitors.Exhibits polite and professional communication via phone, e-mail, and mail. Provides information by answering questions and requests.Carries out administrative duties such as filing, typing, copying, binding, scanning etc.Completes operational requirements by scheduling and assigning administrative projects and expediting work results.Makes travel arrangements for senior staff such as booking flights, cars, and hotel or restaurant reservations. Submit and reconcile expense reportsSupports the team by performing tasks related to organization and strong communication. Contributes to team effort by accomplishing various tasks related to achieving results as needed.Contributes to team effort by accomplishing related results as needed.Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies. Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.Provide assistance to the vendor management and procurement processLiaise with executive and senior administrative assistants to handle requests and queries from senior managersJob Requirements:
You have at least 2 years of proven experience as an Administrative Assistant, Virtual Assistant or Office Admin AssistantKnowledge of office management systems and proceduresWorking knowledge of office equipment, like printers and fax machinesProficiency in Google Suite and MS Office ToolsExcellent time management skills and the ability to prioritize workAttention to detail and problem solving skillsExcellent written and verbal communication skillsStrong organizational skills with the ability to multitaskMust be able to onboard by September 26, 2022Must be willing to report to the office from Mondays to Fridays 9AM to 6PM.
