Salary Range: Php 40,000.00 to Php 50,000.00 (dependent on work experience)

Our U.S. based Client is looking for a Project Coordinator. He/she will be working on a night shift (12 mn to 9 am Philippine Time) in parallel with Los Angeles, California (PST) time.

Qualifications:

• Bachelor-level college degree, ideally with major/concentration in accounting, finance, engineering, architecture, business, project management, or communications.

• Comfortable with basic accounting skills

• Very high level of attention to detail

• Excellent ability to communicate in English both written and spoken

• Independently motivated - able to do high quality work without a lot of supervision

• Comfortable with basic office computing software

• Immediate availability will be an advantage

Project Coordinator Job Description:

The Project Coordinator is an entry-level position on the “production” side of our Los Angeles, California Office.

We provide a financial budgeting report for our clients called a Reserve Study. Our clients are primarily: association-governed communities (e.g., condominiums), places of worship, schools, private clubs, metro-districts, timeshares, resorts, golf courses, and more. These properties have physical assets that deteriorate with time and most of the “major” projects (e.g., Roof replacement, Painting) within a property are predictable. A credible Reserve Study makes it possible to prepare well in advance for these predictable expenses, making it easier for owners and managers to set aside funds to pay for the projects when they need to.

The Project Coordinator will report to and assist the No Site-Visit (NSV) Project Manager with coordinating and delivering NSV Reserve Studies and State Disclosures. Most of our clients are mandated to review their financial positions each year and disclose it. That process requires the production of two documents: a Reserve Study and a State Disclosure. In the process of creating these documents, the Project Coordinator assists with data entry, client communication, vendor communication and ongoing communication with the NSV Project Manager. The Project Coordinator will collaborate with the NSV Project Manager to update previously established Reserve Studies or create entirely new Reserve Studies. Our expectation is that the Project Coordinator position will be a training, grooming and sifting ground for upward mobility in the company and future pay raises. Presuming workload supports continued employment, and the Coordinator’s skills and capabilities grow, so too will the complexity of the projects assigned.

Organizational Skills: Ability to work on 30-40 jobs simultaneously while keeping each separate, efficiency-oriented, able to meet deadline, goal-oriented, able to handle returning inbound research information.

Computer Literacy: Comfortable with computers, strong keyboarding skills, able to work with existing menu-driven custom software (Inventory Database, Client Database) and commercial software (MSWord, Excel, etc.) for Windows-based computers or Apple Computers.

Mathematical Literacy: Performing and checking math, making cross-checks (multiply & divide, percentage) to check reasonableness, ability to perceive when measurements, costs, data don’t make sense from prior report.

Common Sense/Curiosity: Natural ability to know when something doesn’t make sense. The ability to develop questions that will reveal answers, the desire to find out and resolve mysteries, and resourceful enough to look (not ask) for answers.

Physical Skills: Able to maintain alertness and effectiveness while at a desk throughout the course of the business day.

Other Job Details (Training to be provided):

• Communication/organization: Send communications to our clients, the NSV Project Manager, and team members to obtain basic information via digital messenger and email. Utilize digital tools to internally track data provided by our clients to assist the NSV Project Manager in completing Reserve Studies and State Disclosures.

• Research: Communication with vendors who work with our clients to obtain information that will be included in Reserve Studies.

• Data entry/computation: Using our proprietary software to update field notes with “raw data” from property site inspections, the candidate will be able to add basic updates to current projects. Calculate and estimate component prices based on quantities, including lengths and areas. Selection of pertinent photographs to illustrate conditions of each individual building component. Double-check for accuracy, legibility, and sensibility.

• Cost Estimating: Apply lessons learned in basic cost estimating to a wide variety of components in different conditions based on component type, history, and physical conditions. Requires curiosity, common sense, math skills, and good memory.

• Special Projects: Adapt to larger projects outside of standard scope of work as needed and directed by NSV Project Manager to meet the needs of the business.
