The Executive Assistant will provide a wide-range of administrative assistance and act as the first and main point of contact to the CEO and three other Senior Executive team members. The ideal candidate should possess a strong drive to be proactive, enjoy having their finger on the pulse, be quick on their feet and able to adapt to changing priorities.

The kind of work you'll be doing:

Proactive calendar management - you will be the main point of contact for internal and external requests as well as being responsible for coordinating meetings and optimizing the use of timeOwn executive calendars to ensure each of them are well aware of upcoming internal and external eventsOrganize and coordinate international travel arrangements and itineraries for individuals and groups including flights, hotels, and ground transportationCoordinate and manage executive meetings and corporate activities (such as golf tournaments, employee functions, offsite events, and/or public events in collaboration with Marketing & Talent and Operations)Manage relationships with internal and external clients and their assistants; ensuring all relevant materials/refreshments for their meetings and events are prepared and distributed in a timely mannerProvide personal assistance to the CEO, COO, Executive Vice President, and Chief of StaffPrepare expense reports and track finances - pay invoices in a timely manner and keep all spreadsheets up to dateExemplify service excellence in the preparation of materials, binders, briefs, executive summaries, agendas, and identify and resolve conflicts in schedules/commitmentsOther duties as assigned; supporting the Talent and Operations department

Required Qualifications

Post-secondary degree or diploma from an accredited institution5+ years' experience as an Executive Assistant supporting C-Level executivesStrong organizational skills - you are able to juggle multiple priorities and be proactive in anticipating needsHighly innovative and creative thinker with the ability to resolve complex issuesSelf-starter, driven and proactiveHigh sense of urgency whilst retaining the capacity to remain calm under pressureQuick to adapt to change and able to wear multiple hats and embrace any task sent your wayYou have extremely strong time management, attention to detail, and problem resolution skillsDesire to work in an environment of rapid growthHigh customer service orientation - you demonstrate a positive, helpful demeanor and are able to communicate with clarity, tact, and discretionFlexibility to be available outside of normal work hours to provide support on urgent matters or to meet tight deadlines is a mustYou thrive on working in a fast-paced environmentWorking Hours Requirements: Canadian business hours starting around 8:30/9AM EST M-F | 8:30/ 9:00 PM onwards PHT
