EMAPTA is looking for Executive Assistant to support our US Law Firm Partner!
We are looking for a self-motivated Executive Assistant to ensure smooth running of the law office and effective case management. You will provide a broad spectrum of administrative support for legal services under the supervision of an attorney. You will assist an attorney on a day-to-day business administration task, proofreading legal documents and precedent, preparing, and managing legal documents, provide research support, travel & logistics arrangement, completing expense reports/reimbursements and other administrative tasks. You will work in a fast-paced environment with a supportive and dynamic virtual team.
Responsibilities
• Provide administrative support to lawyer and enhance office effectiveness
• Calendar/Meeting Management - Manage and coordinate diaries and schedules with internal and external stakeholders on behalf of the lawyer
• Email Management - Screen, respond to and/or action emails as necessary
• Scheduling meetings and following up
• Proofreading legal documents and precedents,
• Encode and file basic legal documents and correspondence
• onboarding new clients, Handle communication with clients, witnesses etc.
• Answer and direct phone calls
• Producing Professional Presentations through PowerPoint, creating and maintaining templates
• File Storage App Management
• Maintain contact lists
• Conduct research
Requirements
• At least 5 years of relevant work experience
• Proven working experience as Executive Assistant with Legal Industry background
• Highly organized, Business and tech savvy
• Ability to provide high-touch support in communication, drafting email cadences, client management
• Proficiency in writing and speaking the English language
• Excellent secretarial and organisational skills
• Fully computer literate with proficiency in Microsoft Office
• Amenable to work on a night shift schedule
• Amenable to work from home or onsite
• Ability to handle multiple activities and work under pressure
