Job Description

The Contract Associate is responsible for tasks pertaining to contracting, customer assets, maintenance coverage, invoicing, credits and revenue processing. This includes providing accurate and timely contracts, contract-related data, and documents to Commercial Operations team and other stakeholders. The role is also responsible in providing support and guidance by answering maintenance, revenue, credit or invoice-related inquiries and issues.

Responsibilities:

Provide lists or copies of signed contracts and asset management reportsProcess and record Purchase OrdersProcess and track orders as requiredProvide invoice status and copies of invoicesValidate maintenance information including sales orders, removals, and contract valuesLiaise with other teams or departments to secure information and necessary documentsProvide documentation to Contract Operations team for maintenance set up in ERP tool (YVR1, Live Cert, etc.)Research old agreements, facility information, and others using various databases and online sourcesCreate Exhibits and draft letters or notices as necessaryEnter transactional data into appropriate spreadsheetsProcess bookings, including preparation of booking maintenance table, submission of documents to Contract Operations, and updating tools with status and notesReconcile list of bookings from Finance with submissions; validate dataProcess credit templates and submit credit requests; transactional order submission and billingProvide software volume license information and perform license usage audits when requestedAssist with maintenance-related questions/requestsAnswer questions from Contract Operations, Accounts Receivable or other departments in relation to tasks assignedOther projects or responsibilities that may be assigned by the VancouverTeam or Managers

Education:

Bachelor’s degree from a recognized post-Secondary institution

Experience:

Minimum 2 years related experience in an office. Accounting environment or high-level customer service environment, excellent MS Office skills, specifically advanced skills in MS Excel, and MS Word and good Math skills.Experience in the use of ERP Tools (e.g. SAP, Oracle EBS) and CRM (e.g. Salesforce) an asset.
