The Urban Land Institute – ULI Philippines is seeking to recruit a coordinator to support the organization in a range of activities including members engagement, administration and event co-ordination.
The successful candidate will be a self-starter with strong communications skills who will act as the first point of contact with a range of stakeholders to ensure the successful representation of ULI to its members, and the industry generally.
The coordinator provides support across the full range of ULI Philippines initiatives to ensure the success of the ULI Philippines and its programs.
The role combines responsibilities in administration, stakeholder management and event coordination. Workload may vary across the ULI Philippines annual calendar, thus requiring flexibility in approach and working arrangements.
RESPONSIBILITIES
Administrative / Customer Service
▪ Manage the full range of administrative activities required for ULI Philippines.
▪ Administer the formal meeting process including scheduling meetings, coordinating meeting materials, taking minutes and ensuring committee and attendee lists are accurately maintained.
▪ Act as the primary point of contact for member/customer enquiries and manage the ULI Philippines mailboxes and general correspondence.
▪ Manage the membership database and run reports on membership status.
▪ Assist in maintaining member and nonmember profiles with accurate contact information and email preferences.
Financial
▪ Prepare and manage event budgets as required.
▪ Prepare monthly payment schedules and submit batch invoicing to Head office for payment.
Marketing and Communications
▪ Manage the Philippines National Council website content.
▪ Manage the process of event marketing and communication of events to the membership using ULI’s content management systems, including, but not limited to the following – website, EDM, social media channels.
Events Management
▪ Support local programs both for setup and production and with tasks during and following events, such as event planning and logistics, handling enquiries and registrations, preparing name badges, post event communications and follow up, and processing event-specific invoices.
Skills
• Proficient in in Microsoft Office (Word, Excel, and Outlook) and PowerPoint. Knowledge of Photoshop or graphic design skills, a plus.
• Familiarity with Sales Force or NetForum desirable.
• Experience with venue and meeting facilities contract negotiations in Philippines.
• Professional oral and written communication and interpersonal skills to work with senior business executives.
• Ability to prioritize tasks, to handle multiple tasks concurrently and completely, with responsible follow-through.
• Strong organizational and time management skills.
• Copy writing skills desirable.
Experience
• At least 3 years’ of experience in event planning, nonprofit management, or a related field. Experience with local real estate and land use issues is desirable.
Education
• Bachelor’s degree is desirable.
