Job Description
We are looking for a Project based Traffic Coordinator (3 months contract for now --- Nov 1 to Jan 30) to liaise between Creatives and US Field Recruiters based in the different states.
He / she is responsible for keeping everyone on task and projects on deadline, keeping all parties updated on the progress. Distribute assignments to creative teams and other departments, in consideration of deadlines, availability priorities. Monitor projects and workloads, adjusting assignments and deadlines accordingly.
The end goal? To make sure the project goes smoothly for both the client (US Field Recruiters) who requested the project and the professionals who did the work (Creatives + Social Media) are satisfied with the end result.
Typical Day in the Role
There is a Task that will appear in Wrike (the project management platform used by Tenet) written by the US Field Recruiter.
2. Traffic Coordinator will assign the due date for main task based on request.
3. Note if rush (less than 3 days).
4. Traffic Coordinator will confirm the subtasks in Wrike match to match the assets requested.
5. Traffic Coordinator will add the content subtask and assign to the Proof reader Charm.
6. Traffic Coordinator will add other subtasks as needed such as for radio,
mobile ad.
7. Note: if this is organic social posting only, an Organic Social Post subtask will need to be created by Traffic Coordinator
8. Traffic Coordinator will add due dates on subtasks – these dates should:
a. Begin on the date requested and end before the final due date for content and landing page.
b. Begin on the date requested and end on the due date for flyer, social image.
c. Begin and end on the due date for Social Posting (one day).
9. Traffic Coordinator will look at the document provided by the US Field Recruiter. Is it what Creatives need? (Should be the word document template or other word document or a PDF of a previous event/request with changes noted.
10. Traffic Coordinator will mention/tag Charm in the Content subtask in Wrike so
she can write content needed.
11. If all is fine, then done. IF NOT, Traffic Coordinator will message the Recruiter in Wrike to request what is needed. For example, if they don’t provide a word document.
12. Proof reader Charm will tag Content Head Janie for review of social image content and caption content.
13. If caption is fine, Traffic Coordinator will copy to the social posting subtask, or
edit as needed and then copy. (No need for back and forth on this.)
14. Graphic designer Kate tags Content Head Janie and Lorraine when design needs internal
review.
15. Traffic Coordinator will check for accuracy and tag Recruiter for approval.
16. When social image is approved, Traffic manager will tag Social Media in the social posting to say all good. (This is optional, but helpful.)
17. Traffic Coordinator will Review all subtasks for completion then complete main task.
TYPICAL VOLUME TO BE MANAGED
Typically managing approx. 10 hospitals at a time (1 - 3 new per day) with average 5 – 6 subtasks each that need coordination / distribution of assignments / creating / endorsing / approvingMost requests are for a 4 - 5 days turnaround, which is reaso
nable if they follow the process. If the process isn’t followed, we can lose at least a day, turning it into a rush request. We also see that rush requests don’t always mean we get quick approval. The recruiters have a lot to do besides event promotion that’s why we also need this traffic manager role to aid in the follow throughs.
