The School Assistant provides logistical, administrative, and project support to the School Manager in the execution and delivery of school level activities, projects, initiatives, and tasks.
RESPONSIBILITIES
1. Provides logistical and administrative support to ensure efficient operation of the school through a variety of tasks related to organization and communication:
a. consolidates the School’s calendar of activities;
b. liaises with various support and administrative offices within AIM and external partners/suppliers under the guidance and direction of the School Manager;
c. arranges necessary processes for travels, meetings, conferences, etc. This includes travel itineraries, flight and hotel arrangements, cash advances and liquidation;
d. ensures proper management, updating, and filing of school records (i.e., minutes of meetings, post event reports) and documents; monitors office inventories and availability of supplies; and,
e. assists in School functions as needed.
2. Supports the School Manager in planning, organizing, executing, and monitoring various partnerships, events, and initiatives at the school level.
3. Assists the School Manager in research and consolidation of data needed for reports.
4. Assists in processing budget requests (preparation of RFPs, cash advances, and liquidation reports).
5. Monitors and consolidates documentations on events, trainings, and other institutional activities (i.e., budget, planning, performance contracting), to ensure timely submission to other departments requirements.
JOB SPECIFICATION
Education: Bachelor’s degree in Business Management, International or Development Studies, or similar or related course.
Minimum Experience: With at least one-year of full-time related work experience obtained in a similar setting.
