Job Summary:
The Procurement and Administration Specialist will be responsible for running and coordinating the day-to-day administrative duties of the department. He/she will be providing procurement and administrative support to the Department Manager to help achieve operational goals. Due to the high degree of interaction with clientele, the role is expected to have excellent interpersonal communication skills, both written and verbal. Deadlines are important to this position, so the administrative assistant needs to be good at prioritizing tasks to make sure that multiple deadlines are met.
Duties and Responsibilities:
Assist in the design, implementation and periodic review of procurement policies and procedures.Raise Purchase Requisition and prepares Canvas Sheet especially for purchase of office/pantry supplies and office furniture and equipment.Manage Purchase Orders (PO), mo
nitors served and unserved POs and ensure timely follow through of any pending PO.Mo
nitors and manage budget on office and pantry supplies; ensure best value for mo
ney for all purchases.Liaise with suppliers and maintain excellent professio
nal relationship.Understand administrative requirements of Business Units and other Support Departments and regularly communicate with them for any provisio
nal requirement (i.e. ensuring sufficient office and pantry supplies, etc.)In coordination with the IT Department, ensure adequate IT-related support (i.e. provision of IT equipment such desktops, laptops, printers, and IP phones)Ensure sufficient provision of other tool of trade such as mobile handset and services.Assist Business Units and support departments on efficient and effective docu
ment routing or mailing processes.Establish relatio
nship with Building Owner to ensure building and lease requirements are met (i.e. securing work permit for any office maintenance or repair work)Ensure that all office facilities and equipment are properly maintained and in working order at all times (i.e. maintenance and repair).Regularly coordinate with IT Department to ensure efficient and effective use of Managed Printer Services (i.e. on-time and sufficient supply of ink cartridges and other consumables, regular care and maintenance check, etc.)
Required Education, Skills, and Qualifications:
Bachelor in Business Administration or any four year course.At least 5 years experience in Procurement, Logistics, Inventory and Facilities Management.Proficiency in MS Office, with exceptio
