Job Description

Main responsibilities: Accountable for properly managing the supply-chain, sourcing and logistics requirements of the company; Support the General Accountant in activities related to invoicing, billing, collections, reconciliations and documentations.

Purchasing:

● Accountable for the re-ordering, stocking and purchasing of the company’s inventories

● Provide accurate and timely purchasing reports, calendars and smart working

spreadsheets

● Analyze the status of inventories, costs, supplier’s prices and the likes, and come up

with sound and intelligent recommendations

● Manage the supply-chain activities such as scheduling of inventory count, ordering,

checking status of purchases, delivery, quality checking of orders,printing of packaging,

etc.

● Assist in creating the company’s policies in purchasing and supply-chain management

● Set target budget and pricing for items and inventories

● Coordinate, negotiate, resolve issues and build good working relationships with suppliers

● Assist in researching for new and relevant products that are aligned with the company’s

brand and business strategy

● Build and maintain good working relationships with partner brands

● Process and accomplish requirements required by partner brands such as pricing,

proposals, presentation decks, etc.

● Assist sales team in sourcing out customized orders of clients

● Ensure that all purchase orders are properly recorded and monitored and agreements

with the suppliers are properly observed.

● Assist the team in other activities that might be of non-relation to purchasing

Logistics

● Work with, coordinate and maintain good working relationships with logistics partners

● Resolve issues related to shipment, deliveries, etc

● Recommend and assess efficiency of logistics partners

● Prepare and process documents related to logistics, customs clearance, etc.

Accounting tasks

● Creating request-for-payments,processing of reimbursements and organizing required

documents such as invoices, purchase order, billing statements, etc. identify and report

discrepancies

● Prepare bank deposits

● File and digitize invoices, billing statements, deposit slips, delivery receipts, etc. and

enter into internal database

● Send copies of payment transactions and other related documents to suppliers,

agencies, etc.

● Gather and organize information as support to monthly report preparation

● Assist in creation of invoices, reconciling payments, expenses

● Assist in other accounting matters

● Provide support to the general accountant in handling administrative matters such as

scheduling team meetings, supplier meetings, etc.

Must be/should have:

● Proficient in English - both in writing and speaking. This job would require speaking and

corresponding to foreign nationals. Thus, the person should be confident and clear when communicating in English.

● Diligent in safeguarding the company’s resources and data

● Analytical with numbers and data, enjoys math and computations

● Intermediate to advanced excel knowledge and use; Ability to read and apply conditional formulas, search, and match functions in Excel or Google Sheets.

● Organized and has sense of project management

● Enthusiastic to learn about the organization’s products.

● Appreciates product development, packaging designs, material science

● Graduate of Bachelor’s/College Degree in fields such as Business Administration,Accounting, Mathematics or with courses in Project Management, Logistics and Warehouse Management.

● Preferably with experience in purchasing, logistics and warehouse management

● Computer and online apps-use literate - Microsoft Office, Google Docs and Sheets,Slack, Trello

● Those with 2 years and above working experience in related tasks will be highly considered.

● Able to work independently with little or no supervision

● Has his/her own computer with reliable internet connection
