Job Description
We are looking for a Secretary/document Controller to join our team and support our daily office procedures.
A Secretary/document Controller is responsible for the timely, accurate, and efficient preparation and management of documents. Control the numbering, sorting, filing, storing, and retrieval of both electronic and hard copy documents produced by the team.
Responsibilities
· Monitoring the office supplies inventory
· Preparing letters, transmitters, and proposals
· Answer queries by employees and clients (via phone, email and etc.)
· Distribute and store correspondence (e.g., letters, emails, and packages)
· Organize and manage documents such as scanning, filing, typing, binding, etc. (e.g., Letters, transmittals, etc.)
· Scheduling meetings
· Attending meetings
· Preparation of Minutes of Meeting
· Booking of Accommodation, Hotel, Airline ticket and etc.
· Office arrangement (e.g., car schedule)
· Performing duties and tasks which may be assigned from time to time
Requirements
· Fresh graduate is welcome to apply or have an experience at least 1 to 2 years of working experience as a document Controller/Secretary
· Experience with office management software like MS Office (MS Excel and MS Word, specifically)
· Knowledgeable in document control & management process
· Strong organization skills with a problem-solving attitude
· Excellent written and verbal communication skills
· Attention to detail
