Duties and responsibilities:
• Answer, screen and direct phone calls
• On Purchase of office/pantry supplies/equipment/various services: Collect quotations, recommend and prepare the requirements (PO/RFP)
• Distribute mails, memos, letters, etc.
• Prepare simple communications - letters and emails
• Provide support to NS and JOs on a daily basis
(office matters, condominium concerns, etc.)
• Assist with Officers' Working permit application/ renewal
or similar works
• Assist in National Staff Recruitment and Onboarding
• Handling administrative requests and queries from NS and JOs
(arrangements: errands, PCR test, vaccination schedule, etc.)
• Office upkeep and improvements
• Assist in Petty cash application, review and disbursement
• Assets' status and maintenance coordination (e.g. car maintenance and repairs etc.)
• Travel arrangements: ticket, hotel and transportation transfers
(Including preparation of monthly requirements for the coding exemption application)
• Checking/confirmation of drivers' DTR and invoices
• Develop and maintain a filing system
• Assist in planning and preparation of company events and employee activities
• Other duties and responsibilities that will be assigned from time to time related to Admin Responsibilities
