Job Overview
Compliance Manager reports directly to Managing Director.
Provides leadership to entire company and responsible for ensuring that the company’s activities comply with all relevant legal and regulatory requirements.
Act as the Data Protection Officer ensuring compliance with data protection law.
Contributes towards strategic direction in business process improvement and review existing policies and procedures and implement continuous improvement initiatives.
I.Duties
1. Lead UCPI and USPI above compliance with ISO 9001:2015, Data Privacy Act of 2012 and its IRR, EU GDPR, Sarbanes-Oxley Act (SOX), and other local and international laws, regulations, and industry standards.
2. Responsible in establishing, maintaining, and implementing Quality Management System (QMS) and Data Privacy Management System (DPMS) both for UCPI and USPI.
3. Act as Management Representative and Data Protection Officer of UCPI and USPI
4. Collaborate with HR & Admin Manager with new regulations
5. Responsible for the completion of Company projects as planned
II.Responsibilities
A. Quality Management Representative (QMR)
1. Supervise the full implementation of the quality management system.
2. Responsible in establishing, maintaining, and implementing Quality Management System (QMS) and Data Privacy Management System (DPMS) both for UCPI and USPI.
3. Review internal and external documents relative to the Quality Management System
4. Ensure that quality system processes are established and maintained
5. Promote awareness of customer requirements throughout the organization
6. Report any need for improvements to the top management
7. Entertain, collect, and classify customer complaints and feedbacks
8. Lead the development procedures for each process and ensure document control are in place
9. Promote quality management system awareness
10. Plan and implement Internal Audit program
11. Plan and implement Supplier Audit program
12. Lead UCPI and USPI for external and customer audit preparation
13. Ensure the effectiveness of implemented corrective / preventive action
14. Lead UCPI and USPI in identifying the context of the organization.
· Ensure that internal and external issues of the Organization are reviewed and updated
· Ensure that needs and expectations of interested parties are reviewed and updated
15. Ensure that quality policies are understood, implemented, and maintained at all levels.
16. Lead UCPI and USPI in addressing risk and opportunities
17. Ensure that needs for changes on the QMS are properly managed
18. Ensure that QMS are reviewed regularly and as deemed necessary
19. Manage UCPI Activities and Events in Sertica
20. Lead Lean management initiatives (GEMBA)
B. Data Protection Officer (DPO)
1. Assignment of responsibilities, awareness-raising and training of staff involved in the processing of personal data, and the related audits
2. Monitor compliance with data protection law and with the policies of the data controller or processor in relation to the protection of personal data
3. Provide advice were requested regarding data protection impact assessments and monitor their performance
4. Cooperate with all relevant supervisory authorities for data protection
5. Act as the contact point for supervisory authorities on issues relating to personal data processing and to consult, where appropriate, regarding any other matter
6. Report to management on all information security related matters on a regular and ad-hoc basis when required
7. Communicate the information security policy to all relevant interested parties where appropriate, including customers
8. Implement the requirements of the information security policy
9. Manage risks associated with access to the service or systems
10. Ensure that security controls are in place and documented
11. Quantify and monitor the types, volumes and impacts of security incidents and malfunctions
12. Define improvement plans and targets for the financial year
13. Monitor achievement against targets
14. Identify and manage information security incidents according to a process
15. Report any personal data breaches to competent authority and notify data subjects of such breaches
C. Business Compliance
1. Ensure timely renewal of POEA License to Operate, Business Permits and other government permits
2. Ensure timely submission of AFS to MARINA
3. Ensure that UCPI and USPI are SOX Compliant
D. Project Manager
1. Act as lead role in the overall planning, executing, monitoring, controlling, and closing of Company projects
2. Monitor project accomplishments based on the timeline
3. Monitor expenses and ensure within budget
4. Coordinate with different stakeholders ensuring necessary resources is available
5. Responsible for the communication of project status
6. Plan and manage changes as well as risks involves in the implementation
Skills Requirements:
Strong management skills with extensive knowledge and expertise in the following:
Data Privacy Act of 2012 and it’s IRREU General Data Privacy Regulations and other internatio
nal data privacy laws and regulatio

History and Financial Growth
UltraShip Crewing Phils., Inc., is a joint venture between Ultragas and a local crewing agency in the Philippines. The original founding company was renamed Othello-Micomar in October 2009 before becoming UltraShip Crewing Phils., Inc., in August, 2014. The company has provided highly qualified and experienced seafarers to the Ultragas Fleet since 1988. The long term plan is that the company will also be in position to supply seafarers of Philippine nationality to other vessels in the Ultranav group, in line with the company’s long term strategic plan.
UltraShip Crewing Phils Inc. (UCPI) offers highly competitive maritime professionals both at sea and ashore to the Ultranav group. With Crew Management as its core competency, UCPI currently provides experienced mariners to a growing fleet of LPG vessels managed by UltraShip ApS in Denmark and Bernhard Schulte Shipmanagement in the UK.
