Job Description

Join our client partner, a leading law firm in South Australia, Western Australia and the Northern Territory. They've been helping people with injury, family, estate and business matters since 1970.

Our Partner is the largest personal injury firm in SA and also is the state's largest family legal firm. Their other areas of practice include wills and estates, criminal and disciplinary, business and property and commercial disputes. 

KEY RESPONSIBILITIES 

Lawyer Dictation

Receiving and saving transcribed letters, Court forms and file notes.documents will need to be saved to the client's individual file in the firm's software system (Affinity). The electronic link to the documents are then forwarded to the lawyer and their Adelaide based personal assistant. We will provide additional details about what to name documents when they are saved.

Opening files on Affinity

Working from a 'new instruction sheet' enter the information into the Affinity system to open a new client file. Essentially a data entry task that will differ slightly between various types of practice.Sending clients re (and associated authorities for PI matters) and monitoring/saving on their returnonce a file has been opened a letter is sent to the client to provide them with all the details they need to understand about the work we are going to do, how we will do it and what we are going to charge them to do the work. This letter is called a

Retainer

These Retainers will be put together using a template and saved to Affinity and emailed to the lawyer for them to approve and then they can be emailed to the client.On occasions there may be other documents that are sent to the client with the Retainer.

Compilation of electronic briefs

When we work with a Barrister and a matter is heading for a trial they need to receive a copy of all the relevant information that we have that relates to the client's matter. These documents need to be saved to the client's matter in Affinity and they are pulled together into a 'bundle' of documents called a Brief for the Barrister.This task is compiling the brief electronically working with a List of documents or an Index that can then be emailed to the lawyer to check and then sent to the Barrister.

Amendments to documents

Lawyers will often make amendments by handwritten notes on documents that have already been transcribed for them.These amendments need to be made to the original document, and the new document saved to Affinity and a copy emailed back to the lawyer for them to approve.

Drafting documents

Using templates, information that will be provided is either typed into a template document or cut and pasted into a template document. These documents will vary as there are a number of them, but the task is essentially the same.

Gathering information from new clients before their first appointments

Emailing a standard template email to a potential new client to collect information from them prior to their first appointment. This information once returned will be forwarded to the lawyer and their Adelaide based personal assistant.

DESIRED SKILLS AND EXPERIENCE

Bachelor's or college degree, preferably in legal management or a related field.5 years of proven experience as a Legal Assistant/Executive Assistant (professional services environment advantageous) or similar is required.Background with AU law firm requiredKnowledge with family law preferredExcellent English, written and verbal skills is required.Advanced Microsoft office application skills required (Word, Excel, PowerPoint, Outlook, Teams).Minimum typing speed of 50 wpm.Has the ability to understand, and execute complex written and verbal instructions.Must demonstrate a high level of professionalism and integrity.Keen eye for details.Excellent organizational and time management skills.Must be motivated and a self-starter, positive attitude, resourceful, and dependable.Disciplined follow-up on action items.Demonstrates determination, tenacity, curiosity, and resolve along with a tireless work ethic
