Summary:
Performs administrative duties for the executive management. Responsibilities include screening calls, managing calendars, making travel, meeting and event arrangements, preparing reports and financial data and customer relations. Requires strong computer and Internet research skills, flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors. Sensitivity to confidential matters is required.
Duties & Responsibilities:
• Manages Site Director sponsored special projects as required.
• Plans and manages meetings and events (both internal and external) including budget development and compliance.
• Reviews purchase requests and travel requests on behalf of the Site Director.
• Collects organizational/departmental key performance metrics from disparate sources and consolidate for presentation.
• Works independently and use discretionary judgment.
• Maintains the highest level of confidentiality.
• Remains accessible for upper level management at all times.
• Plans and implements engagement activities relevant to the site.
• Provides administrative support to management including: meeting participation, action tracking, agenda setting, and travel arrangements.
• Performs other duties that may be assigned from time to time.
Incentive Management Tasks:
• Manages incentive programs for the site accounts.
o Work with Sales & Ops teams in each account to devise incentive plans based on client and VXI budget availability.
o Work with Sales & Ops teams in implementing the incentive plans and ensuring that the targeted ROIs are met.
o Work with Sales & Ops teams in managing available incentive budgets so that they are properly disbursed and accounted for.
Education & Experience:
• Candidate must possess at least a Bachelor’s/College Degree in any field.
• Must be skilled in providing exceptional Customer Experience.
• Must be skilled in verbal and written communication to compose correspondence and analyze, interpret and address customer needs.
• Must have the ability to work with and maintain confidential information.
• Must have the ability to manage short and long term projects.
• Must have the ability to work with minimal guidance or supervision in a time critical environment.
• Must have the ability to interact effectively with all levels of management and customers.
• Must demonstrate expertise in Microsoft Office applications including Word, Excel, and Powerpoint.
• Must have the ability to learn and use new computer applications as required.
• Must have at least 6 months tenure in current position
