Executive Support
1. Assists Sammy J with daily administrative duties and completes a broad variety of administrative tasks that include managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings.
2. Communicates directly and on behalf of Sammy J with outside organizations, contacts and others on matters related to initiatives as directed.
3. Drafts reports, letters, proposals; prepares and coordinates oral and written communication with outside companies and contacts.
4. Assists Sammy J with daily administrative duties regarding private and confidential personal or family related items and activities.
5. Assists Sammy J with the day to day management of his residence and staff including his driver.
6. Coordinates Executive, Finance, Governance meetings, maintains confidential files and contact information; coordinates meetings, conferences, and committees both on and off site to support Sammy J agenda.
Management Liaison
7. Participates as an adjunct member of the SMT including assisting in scheduling, attending meetings. Represents Sammy J in designated meetings as required.
8. Assists in coordinating the agenda of senior management team meetings. Prepares an account of the meetings and designates and follows up on assigned action items.
Secondary Responsibilities:
· Performs other duties as assigned.
· Provide assistance as needed to office administration operations to include but is not limited to, answering phones, accepting package and other deliveries, and greeting and signing in visitors/guests.
SKILLS & ABILITIES:
1. Strong interpersonal skills and the ability to build relationships with stakeholders, Management including staff and external partners and colleagues.
2. Proficiency in Windows, including MS Word, EXCEL and PowerPoint; data management systems knowledge helpful.
3. Ability to learn and embrace new software and systems as the company grows and matures.
4. Ability to conduct research and present data in a succinct and well-written manner.
5. Ability to work independently and with professional discretion.
6. Excellent writing, editing, grammatical, organizational, and research skills in both Tagalog and English.
7. Ability to work with a broad range of people including colleagues of the president/CEO and staff as well as others.
8. Excellent management, time-management, and problem-solving skills.
9 Knowledgeable in social media application, (Tiktok, Instagram)
Graduate of any Business Course
With at least one year experience as Executive Assistant/Personal Assistant
