We deliver high-quality, out-of-school learning programs in STEM, arts, and sports working with public and private schools. Our programs provide opportunities for children of every background to learn new skills, develop critical connections, and have fun. From after-school programs, summer camps, and coding boot camps, KidzToPros has taught over 1,000,000 curriculum hours to more than 35,000 students in more than 400 schools across the U.S.The Executive Assistant provides executive-level support to the CEO and COO. The Executive Assistant will provide support in the following key areas: administrative support, calendar management, expense processing, travel and meeting arrangements, project management, research, and other tasks as assigned.Responsibilities∙ Coordinate executive communications, including responding to emails and interfacing with the leadership team, investors, clients, partners, vendors as yourself.∙ Schedule management (schedule all meetings, meeting notes, transcribe meetings and convert into tasks, daily sprints, etc.)∙ Manage information flow in a timely and accurately including, meetings travel plans and accommodation arrangements. ∙ Create expenses and prepare weekly, monthly, or quarterly reports.∙ Agile understanding and willingness to learn and improve continuously.∙ Prioritize CEO, company, and your tasks, create a focus and see tasks through to completion. ∙ Manage and book travel for employees and be willing to travel occasionally for company meetings. ∙ Demonstrate the ability to move quickly, adopting a continuous improvement approach.∙ Arrange & help coordinate corporate events.∙ Develop and sustain a level of professionalism among staff and clientele.∙ Exhibit strong problem-solving skills and a willingness to shift focus quickly when urgent, unplanned issues arise. ∙ Set repeatable processes in place (for yourself) to make sure things don’t fall between the cracks and everything is documented so we can constantly improve and grow efficiency.∙ Be adaptable and demonstrate the ability to wear multiple hats.∙ Excellent team player who works collaboratively with others and is able to work independently with minimal supervision.Requirements:∙ Proven experience as an Executive Assistant for a startup/ CEO, Director of Operations, or equivalent position.∙ Ability to read/respond to emails, schedule meetings, prioritize tasks, solve problems, and maintain operational efficiency.∙ Advanced communication, organizational skills, and leadership aptitude. ∙ Skilled in Google Suite, Zoom Video, Task management systems, Slack, and Salesforce with an ability to become familiar with company-specific programs and software.∙ Bachelor’s degree and/or equivalent level of education and experience working within the corporate setting.∙ 3+ years of experience as an Executive Assistant.Minimum 2 years supporting a C-suite leader.∙ Proficient in MS Office suite of products with advanced PowerPoint proficiency. ∙ Strong business writing skills and flexibility with work hours are preferred.
