Job Description

JOB DEscriptION

Provides general support in HR operational and clerical support including recruitment and selection, onboarding and offboarding, employment and labor relations, learning and development, HRIS, timekeeping, employment engagement, HR projects/initiatives, organizational development, and HR policies for all entities.Be the first point of contact for all HR-related queries for all entities;Assists in global recruitment and selection by posting job advertisements, shortlisting candidates, and coordinating interview arrangements for all hiring needs across all entities. Provides support in drafting relevant memos, reports, and letters (i.e. Offer Letters, Acceptance of Resignation, etc.);Assists in onboarding new employees by liaising with IT on setting up a designated log-in, workstation, email address, and other employee materials and documentation. Assists in offboarding separating employees by guiding employee of the clearance process, drafting of letters, and collating final pay information for payroll processing. Provides additional support and guidance on HR interpreting, communicating, and relaying policies and procedures to all BW Water employees;Assists HR Manager in reviewing existing HR Forms, Policies, and procedures in line with business needs and government legislations across all countries or entities;Handles HRIS and employee database by ensuring that is accurate and up-to-date.Assists in the work permit application, renewal, and cancelations for all entities. Assists in coordinating with insurance vendors. Supports Admin Manager and employee concerning hotel booking and travel requirements. Assists in ensuring monthly payroll records are up-to-date and organized.Assists in verifying and computation of Overtime Claims. Liaise with Payroll agent on monthly Payroll processingAssists in leave management by verifying and recording staff movement (annual leave, sick leave, time off, out for a meeting, etc.) and ensuring all leaves are documented and up to date;Ensures Whereabouts Trackers are updated by each HOD and emailed to MD weekly.Liaise with the Local Authority to resolve any HR dispute;Prepares attendance records and ensures all Timesheets are submitted by all employees as per the stipulated datelines.Ensures company uniforms are issued to O+M employees, replacement if needed.Manages to track Employees’ Medical Claims;Prepare, organize, and coordinate Training Programs (e.g. training need analysis, liaise with training provider, training registration, HRDF grant, and claim applications, participants’ notification and attendance, training effectiveness evaluation, training records, etc);Handles staff house tenancy agreement and staff house management;Ensure all HR documentation e.g. offer letters, confirmation letters, employees’ files, and disciplinary letters are well kept;Supports HR manager in managing employee-related matters i.e employee discipline, performance, and grievances.Follow all quality directives from the company Quality Department;Performs relevant tasks as assigned by Superior from time to time.

JOB REQUIREMENTS

Graduate of Bachelor’s Degree in Psychology, Human Resource Management, Human Resource Development Management, Organizational Development, or similar.2-3 years of relevant experienceExcellent English communication and writing skills.Willing to Travel as and when required and work on-site.Excellent organizational, analytical, and planning skills with proven experience in general day-to-day practices and operations of the HR function in a multinational setting.Knowledge of Malaysia or SG Labor law is preferred.
