Job Description

A Purchasing Officer will research and negotiate the best price and quality for company supply needs. He or she will establish relationships and serve as a representative of the company when negotiating contracts and building vendor and supplier trust. He or she will track and monitor the delivery and confirmation of all materials and supplies. Also, the Executive Assistant manages a variety of duties for Senior leaders of the company while serving as the point of contact between executives and employees. The position demands great communication skills, flexibility, proactive logistics, and efficiency, with demands and expectations prone to changing on a day-to-day basis. Executive Assistant shall have the ability to learn concepts and processes quickly. In all areas, they are expected to keep calm in the face of pressure, while keeping operations smooth and efficient.

Responsibilities as a Purchasing Officer/Executive Assistant:

Research and evaluate potential vendors and suppliers for current and future project needsRequest quotes and compare prices for maximum ROIEstimate and establish cost parameters and budgets for purchasesExamine and review products and supplies to ensure qualityTrack incoming inventory, delivery arrival time, and note actual arrival timeOrganize and update database of suppliers, delivery times, invoices, and quantity of suppliesWork with other department’s team members, supervisors, and product managers to develop future purchasing plans and source potential relationships with vendorsEnsure completeness and pristine condition of all deliveries and complies to the specs as requested and approvedCollaborate with Finance and Commercial team for contracts, invoicing, and other financial mattersManage professional and personal scheduling for the Country Manager (CM), including meeting agenda, regular correspondence, emails, calls, travel arrangements, client management, and other company logistics·Manage, coordinate, and arrange senior executives’ travel and travel-related activities, including hotel booking, transportation, and meal coordinationPerform administrative and office support, such as encoding, dictation, spreadsheet creation, IT minor troubleshooting, and maintenance of executive filing system and contact databaseMaintain professionalism and strict confidentiality with all materials, and exercise utmost discretion when interfacing and representing the company in external businessesOrganize team communications and plan events, both internally and offsitePer CM instruction, manage communication between upper management and employees, liaising with internal and external executives on various projects and tasks

Qualifications:

Bachelor’s/ College Degree in business, logistics or any related fieldAt least 1-2 years of working experience in purchasing or similar roleGood communication skills (both oral and written) and able to work independently or with very minimal supervision.Excellent time management skills
