You’ll be empowered to focus on your career progression and turn your goals into reality as an integral part of the group’s success.about The RoleThe role of the Facilities and Admin Coordinator is to maintain a high quality office facility which supports the needs of both employees and the company. The role is also expected to initiate process improvement and develop strategy in facilities management while being a role model for employees on maintaining high quality standards in office maintenance. It is also important that the role is able to assist in managing office maintenance workforce effectively, depending on the requirement of business operations for all departments. The role will be assigned the following responsibilities:Provide a first line contact for the facilities function for all internal and external customers/contractors;Ensure over all coordination on site including but not limited to liaising with the building administration, engage service providers including planned and responsive maintenance, refurbishment, redecoration, office moves, and provision of furniture and equipment;Manage all external vendors and suppliers e.g., office supplies, maintenance provider(s), air conditioning etc. ensuring there is back up to prevent any delays on requirements;Ensure procurement of all relevant office equipment and services on a timely manner. Implement procedures and policies on but not limited to asset’s control, disposal, movements of office equipment and facilities;Review and implement measures to maintain site integrity whilst ensuring adherence to the building administration’s policy and national standards and regulations;Provide general assistance on all facilities related requirement including seat utilization planning and delegation;Operate and maintain an effective filing system for the facilities and office administration functions;Record and monitor all costs and expenses for the facilities budget. Able to provide sound recommendation and judgement on expenditures of the department;Create purchase orders, manage invoices, and produce reports as requested;Coordinate with the PLT and the Business Continuity Management Team with regards to Disaster Recovery / Business Continuity Plan which includes contingency planning, post incident evaluation, data analysis and solution recommendation;Ensure building plans and permits are up to date. Initiating renewal processes before permits and documentation expires;Ensures that all documentation and records are maintained aligned to the QMS policy of the company for compliance and audit purposes. Create, develop, and implement process improvement depending on the business needs and requirements;Measure and evaluate performance of direct reports using effective tools and administration of Individual Development Plan;Determine administrative tasks’ key priorities and ensure that deliverables are completed on time;Establish work instructions and procedures for Admin tasks and monitor daily work of the admin staff / cleaners / messengers;Liaise with third party suppliers for office equipment and supplies (i.e. Drinking water, janitorial supplies, etc.) and with external service providers for office maintenance and renovation;Ensure that business related documents (i.e. Permits, Blueprints etc.) are up to date and kept in a secured location;Monitor the cleanliness and orderliness of office spaces (i.e. boardrooms, pantries, etc.) and proactively escalate any issues to proper channels.QualificationsCandidate must possess at least a Bachelor’s/College Degree, any field.Background on managing multiple office sitesPreferably has 3 to 5 years’ experience in Support Services and FacilitiesAmenable in shifting/rotating schedule (business requirement)Required language(s): English, FilipinoKnowledge on PEZA permits and application is an advantageExperience in seat utilization is an advantageIf this sounds like you, we’d love you to apply!We believe in the power of an inclusive and diverse workforce.
